Your own system and team, one monthly payment
Run the whole company from one system.
We build the system your company runs on, launch it in weeks, and keep improving it every month. A whole team for less than one in-house developer, and the system becomes yours.
- By the DodoTap team, 18 people
- 6 systems in production
- 70 managers in one system daily
- Live from 1–2 weeks

- 2We build your system
- 3We keep improving it
One client. A different answer in every tool.
Take Harbor Co, an example client. It lives in a sheet, a chat, an inbox, a shared folder, and the owner’s notebook, and each copy drifts on its own.
How much does Harbor Co owe, and when does the work start?
12,400. Or 11,900. Or 12,000. Work starts on 14 Nov, or on 18 Nov. Depends who you ask.
You invoice 11,900. They pay 12,400. Nobody notices for a month.

What the system covers
Everything the company runs on, in one system.
Sales, money, operations, the team, and everything in between, connected to each other. Not all at once: we start with what hurts most and grow the system with the company.
Sales
Every lead reaches a manager, and no deal goes quiet.
Money
You know who paid, who owes, and what is left.
Operations
Orders and tasks move from step to step on their own.
Clients and service
The whole history of every client in one place.
Team
Who does what, and when.
Communication
Mail, chats, and calls next to the client.
Documents
Contracts from a template, signed online.
Knowledge base
Rules and how-tos the team can find.
Analytics
Reports build themselves.
Marketing
See which channel brings money.
Mobile apps
For people in the field and for your clients.
AI across every area
Ask in plain words, get answers from your own data. Summaries, emails and documents read for you, calls turned into notes.
You do not need everything at once. We start with the area that hurts most and add the rest as the company grows.
Tell us which area hurts firstWhat we build
One team. Three kinds of systems.
Most companies start with the system their team works in. Then they open it to their clients, and some build a business on top of it. Same data, same team, one monthly payment.
Your data
01For your team
Internal system
Sales, operations, money, and people in one place. Work moves between roles without chats and spreadsheets, and the owner sees the whole company on one screen.
Often for: Service companies, clinics, security, logistics
02For your clients
Client portal
Your clients log in and see their contracts, invoices, payment schedule, and the status of every request. Fewer calls asking what is happening with their order.
Often for: Leasing and finance, distributors, companies with 1,000+ clients
03For your market
Platform
A product your business sells: a marketplace, a B2B platform, a tender portal. We build it and stay on as its team while it grows.
Often for: B2B platforms, marketplaces, new digital lines of business
Who it is for
Built for companies like yours.
Any business where work passes between people, or clients wait for answers. These are the ones we already know from the inside.
Service companies
Orders, crews, and payments are split between a spreadsheet, chats, and the owner’s head. Every status means a phone call.
What we usually assemble
- Deals
- Projects
- Calendar
- People
- Invoices
- Reports
Done before. Systems for clinics, construction, and food production.
From five people to several hundred
- 5–10
- The owner still sees everything. Clients, tasks, and the next step in one place.
- 11–50
- Roles appear and work passes between people. The process lives in the system, not in the owner’s head.
- 51+
- Several teams on the same processes, with infrastructure for the volume.
The math
Cheaper than a developer. Faster than an agency.
There are two usual ways to get a system of your own: hire developers or pay an agency upfront. We are a third one: a whole team, live in weeks, for one monthly payment.
Other ways to get a system of your own
- One in-house developerabout $11,300 a monthOne person, without a designer, QA, or analyst. When they leave, the system stops.US median pay, BLS, May 2025
- Custom CRM from an agency$24,000–112,000 upfront8–20 weeks before launch, then 10–20% of the cost every year for support.RaftLabs, 2026
How it goes
From your process to a running system.
No boxed setup. We start from how the company works today, and the system keeps changing with it.
- 01
Map the process
We sit with the owner and the team, open the sheets, chats, and tools you use, and write down how work really moves.
You getA process map and a fixed monthly payment.
- 02
Assemble or build
Assemble from modulesorDeals, invoices, tasks, bookings. What already exists is fitted to your process.
From 1–2 weeksBuild what is missingA process that is not in the set is written for this company, with the infrastructure around it.
As long as it needs, live in parts - 03
Move the data
Clients, deals, and history move over from sheets and old systems. We check that nothing is lost or doubled.
You getNothing retyped by hand.
- 04
Train the team
Each role learns its own screens. The old tools stay on until the team is working in the new system.
You getA switch without a stop.
Stay on
The company changes, and the system changes with it. There is no monthly cap on improvements: send as many tasks as you like, and we work through them in the order you set. When the contract is complete, the system is yours.
Integrations
Keep your tools. Connect them to one client card.
Mail, calendar, payments, accounting, messengers, and files stay where the team is used to them. What they produce lands on the client card, and AI assistants like ChatGPT, Claude, and Gemini can work with it.
- “How much does Harbor Co owe?”12,400, from Invoice 14Claude
- “Sum up the week for the owner”3 deals moved, 2 invoices paidGemini
- “Remind Anna to confirm the start date”Task added to the client cardChatGPT
Not on the list? If it has an API, we connect it. AI assistants connect through MCP, an open standard.

What owners ask before they start.
Write it in the form. We answer within a working day.
Ask usWe live in Excel and chats. What happens to that data?
We move it. Clients, deals, and history come over from sheets and old systems, and we check that nothing is lost or doubled. Nobody retypes anything by hand.
How can a system built for us cost less than boxed software?
We build with AI tools, so writing a process for one company takes a fraction of the time it did a year or two ago. You pay for your process, not for a vendor’s features you never use, and not per seat in every tool.
Can we use it with ChatGPT, Claude, or Gemini?
Yes. We connect the system through MCP, the open standard AI assistants use to talk to other tools. Ask ChatGPT, Claude, Gemini, or another assistant about a client, a debt, or a delivery in plain words, and the answer comes from your own data.
How is the price set?
One monthly payment and no fee to start. It depends on the kind of system, the modules, the integrations, and for a client portal, how many clients use it. We fix it after we map your processes, before any work starts. Infrastructure is billed at cost.
Is there a limit on improvements?
No monthly cap. Send as many tasks as you like: we keep them in a queue and work through them in the order you set. A large new module or a client portal is a step up in the plan, and we agree on it with you first.
Can you build a portal for our clients?
Yes. Your clients log in and see their contracts, invoices, payment schedule, and the status of their requests. It runs on the same data as your internal system, so nobody keeps two versions.
How long until the team works in it?
A set of ready modules can go live in 1–2 weeks. A process that needs to be written from scratch takes longer, so it goes live in parts, and support starts from the first part.
Whose system is it? What if you disappear?
When the contract is complete, the system is yours. The code stays with the company, so it keeps working and another team can pick it up. Behind SoftMile is the DodoTap team: six years in custom development and about 18 people.
Do we have to drop the tools we use now?
No. Mail, calendar, payments, accounting, and messengers stay where they are and connect to the same client card. We remove only what the system replaces.
What if our process changes in six months?
It will, and that is expected. We stay on after launch: new modules, new steps, and fixes as the company grows.
Will the team actually use it?
Each role learns its own screens, and the old tools stay on until the team is working in the new system. The system is built around how people already work, so there is less to relearn.
